Making an impact in everyday work

Order intake & ERP entry review

We read email and fax orders, compared ERP item codes and inventory conditions, and built a review workflow that passes orders to entry only after the owner checks the source and approves the recommendation.

What changed in this workflow

  • In field build · Quantitative validation in progress
  • Reading different order formats and finding internal codes became a workflow of checking the source and recommendation evidence before approval.

Reading the order was possible. Choosing the right code was another matter.

A food manufacturer's orders arrived through emails, faxes, and files, each with different layouts and customer item names. Owners read the customer, item, quantity, and deadline, then searched the ERP master for the internal code.

When customer and ERP names differed, choosing a code depended on experience. Stock at the time of lookup and delivery risks still needed checking. Extracting text alone did not make an order ready for ERP entry.

We separated uncertain item matches and orders requiring stock or delivery review. Original orders, entry data, and inventory appeared together, and only owner-approved orders proceeded to ERP entry.

Do not execute a suggested code as if it were confirmed.

Put the evidence between the original order and ERP entry

Read the source order

We extracted customer, item, quantity, and delivery date from email, fax, and other order sources. The wording in the original became the starting point for item matching.

Recommend an internal item code

We compared extracted items with master data and attributes. Uncertain matches stayed with the owner for review rather than being executed automatically.

Review source, stock, and risk together

The owner could compare the original order and entry data in one screen. Current stock and review items were grouped to support code selection and inventory or delivery checks.

Owner review workspace

Hand off only approved orders

Only owner-approved orders were passed to ERP entry. Approval and execution history recorded the point where a recommendation became an actual input.

Stop automatic execution when the item code is uncertain

Recommendations support review. The owner must check the source, suggested code, and inventory and approve before the order proceeds to ERP entry.
