Making an impact in everyday work

SAP posting & exception review

We compared invoice spreadsheet values with SAP input rules, posted eligible items, and recorded outcomes. Discrepancies and open items went to the owner with supporting evidence.

What changed in this workflow

  • 4,000 per month
  • 5 min per item → Approx. 0.5 min per item
  • Approx. 300 hours per month
  • The change was not just faster entry. It changed which items deserved the owner's time.

Time savings are calculated from volume and the change in time per item, based on the implementation and validation records in the existing casebook.

The values were ready in Excel. SAP still required one-by-one entry.

A finance team at an automotive-parts company handled postings for payments and period-end closing. Owners checked invoice spreadsheets, re-entered values in SAP, and verified inputs and results.

The process repeated for 4,000 postings each month. Supplier, amount, account, and required fields needed validation, alongside inconsistent and unresolved items. At busy times, routine entry and exception decisions accumulated with the same owner.

We separated items meeting processing rules from those requiring judgment. The scope included checking results and delivering exceptions, as well as entering values in SAP.

Stop treating every posting as the same kind of work.

Separate the path for posting from the path for review

Select eligible items

We queried new postings and selected targets using defined criteria. Invoice spreadsheet values became the input for SAP processing.

Check SAP input rules

We compared supplier, amount, account, and required fields with internal rules, separating eligible items from those needing review.

Post and verify the outcome

Eligible items were entered in SAP. We then checked results and status and retained a processing record.

Deliver the exception list

Discrepancies and open items were organized with source evidence. Emails delivered results and exceptions so owners knew which items to revisit.

Separate routine processing from exception judgment

Instead of re-entering every value in SAP, the owner checks evidence for inconsistent or open items. Automation applies to items meeting internal criteria.

The change was not just faster entry. It changed which items deserved the owner's time.
